Times are varying faster, with these changes, institutions are coming to terms with the reality that can no longer afford to stick with historic filing systems as their competitors embrace the future. Today’s world is filled with amazing technology, able to delivering information instantly with the push of the mouse. Within this environment, one may think that data bound to physical pieces of paper is a remnant of the past - instead, the opposite is true. Thus, real benefit will result not only from automating these processes but also re-engineering them to take advantage of the advance technology that is available. Electronic Document Management System support businesses handles documents through the lifecycle, from creation to destruction (Jones, 2012). Streamlining business processes and growing efficiency are fundamental concerns for just about any organization, no matter size or sector which struggles to reconcile the field of digital and physical data. Electronic Document Management solutions are targeted at combating these complaints using the simple understanding that a centralized repository improves information discovery and reuse of critical assets. As organizations attempt to keep costs down, improve process efficiency and institute compliance with several government legislation and industry rules (e.g. SOX, HIPAA, PIPEDA), digitizing these documents becomes an essential initial step This project addresses the principles of today’s document management systems and the current market trends and cover ways in which business like VisionFund Money Lending Limited can actually quantify the return on investment (ROI) in implementing an electronic document management systems.
The broad objective of the present project was to design an Electronic Document Management System to be known as VisionFund Management System – VFMS. VFMS is an Electronic document management system that has the functionalities of enhancing productivity of employees by allowing them to securely share resources, help manage documents effectively, secure documents against misuse, and improve in-house collaboration. It will among other things provide storage, sharing, versioning, security, as well as searching, archiving and backup capabilities, that will help VisionFund reduce their overall document volumes while increasing the value of the knowledge assets. It will also eliminate the duplicate, outdated, and irrelevant documents to make way for improved access to an organization’s real intellectual capital and reusable assets Recommendations for more room for system development and its implications are also suggested
